Simulated flow: sales response

Sales responses

From an incoming enquiry to a draft ready for review: the system reads the context, draws on the company knowledge base, flags what is missing and leaves the decision to send to a human.

Knowledge base — 10 items

Fictional company · Atelier Volume SA · Workplace fit-out — SMEs, French-speaking Switzerland

The company's knowledge base. The draft draws only on these items — no real data, no price or lead time.

The system draws on these items each time it drafts a reply.

Cantons of Geneva and Vaud. Other cantons in French-speaking Switzerland on request, with no guarantee of availability.

03

Qualification & scoping

05

How a proposal proceeds

Every proposal starts with a site visit and a scoping workshop (needs, headcount, uses, constraints). No quote is issued before this step.

06

Information needed for scoping

Floor plan (or surface area and layout), target number of workstations, desired move-in date, lease constraints (reinstatement, working hours, condition report).

07

Scoping visit

Visits are scheduled by the project team. Allow 60 to 90 minutes on site with someone who knows the needs and the lease constraints.

Commercial terms

08

Pricing

Amounts are established only after the scoping visit, based on the agreed scope. No price is shared by e-mail at the incoming-enquiry stage.

09

Lead times

Lead times depend on the agreed scope and on supplier availability. No lead time is confirmed before scoping.

What this flow represents in a real company

A base kept up to date

The draft draws on validated business information: scope, coverage area, how a proposal proceeds. No improvisation.

Consistent replies

The context, the covered points and the gaps are set out before drafting, whoever handles the enquiry.

Nothing goes out without validation

The system prepares; sending stays a human decision, with the items to complete clearly identified.
